Position Overview

We are is seeking a highly organized Office Administrator to support daily office operations in Plano, Texas. This role is ideal for candidates who are comfortable working in a fast-paced, professional environment and can communicate effectively across teams. Bilingual fluency in English and Mandarin is required to support communication with Mandarin-speaking stakeholders and business partners. The ideal candidate will be proactive, detail-oriented, and confident managing multiple administrative priorities.

Key Responsibilities

· Manage executive calendars, meeting coordination, and day-to-day administrative support.

· Coordinate internal events, including arrangements for visitors, customers, VIPs, and guests.

· Arrange travel-related logistics such as hotel accommodations and local transportation for visiting guests.

· Support on-site event coordination, including catering and hospitality needs.

· Maintain office supply inventory and compare vendor pricing to ensure cost-effective purchasing.

· Track company vehicle usage and help ensure vehicles remain in good operating condition.

· Help manage temporary housing or condo-related administrative records, including invoice processing.

· Answer incoming phone calls and emails, directing inquiries to the appropriate internal contacts.

· Provide general administrative support and assist with additional office tasks as needed.

Qualifications

· High school diploma, GED, or equivalent required; associate's or bachelor's degree in business administration or a related field preferred.

· Professional bilingual proficiency in English and Mandarin is required.

· Proficiency in Microsoft Office, especially Excel and Outlook.

· Strong written and verbal communication skills with the ability to coordinate across teams and external partners.

· Excellent organizational skills and the ability to manage multiple priorities in a fast-paced environment.

· Strong interpersonal skills and a professional, service-oriented approach.

· High level of attention to detail, problem-solving ability, and sound judgment.

· Ability to work independently, take initiative, and support continuous process improvement.
